Getting Started

Do I need an account to use Sophosic?

No! You can start using Sophosic immediately without creating an account. Simply visit sophosic.ai  and start chatting.

However, creating a free account unlocks additional features:

  • Conversation history synced across devices
  • Memory system that learns about you
  • Personal knowledge base
  • Ability to create and save SOPs (with Sophosic Pro)

How do I create an account?

  1. Visit sophosic.ai/register 
  2. Enter your email and create a password
  3. Verify your email (check inbox)
  4. Complete your profile

What happens to my anonymous conversations when I sign up?

When you create an account on the same device where you used Sophosic anonymously, we automatically offer to transfer all your conversations and data. Simply accept the transfer and everything comes with you!

Is Sophosic really free?

Yes! Sophosic offers a generous free tier with:

  • Unlimited conversations
  • Basic reasoning modes (Minimal, Low, Medium)
  • Limited web search
  • 30-day conversation history
  • Basic memory system
  • Knowledge base (up to 100 documents)

Sophosic Pro features ($25/month) include unlimited usage, advanced features, and more.

What’s the difference between reasoning modes?

Higher reasoning modes provide more thoughtful, nuanced responses but take longer.

Enable Web Search when you need:

  • Current events, news, or recent information
  • Real-time data (stock prices, weather, sports scores)
  • Product information and reviews
  • Recent research or publications

Don’t need it for:

  • General knowledge or historical information
  • Personal information from your conversations or knowledge base
  • Theoretical discussions

Can I upload files to Sophosic?

Yes! Sophosic supports:

  • Documents: PDF, DOCX, DOC, TXT, MD
  • Images: JPG, PNG, WebP, GIF
  • Data Files: CSV, JSON, XML
  • Presentations: PPTX, PPT
  • Spreadsheets: XLSX, XLS

Size Limits:

  • Free: 10MB per file
  • Sophosic Pro: 20MB per file

How does the Memory system work?

Sophosic remembers information from your conversations and builds a knowledge graph about you. This includes:

  • Your preferences and working style
  • Projects and goals
  • Important details you’ve shared
  • Patterns and insights discovered by AI

The AI uses this memory to provide more personalized, contextual responses. You can view, edit, and delete memories anytime in your Dashboard.

What are SOPs?

SOPs (Sophosic Operating Protocols) are reusable, intelligent workflows. They combine conversational AI with structured processes to automate tasks like:

  • Customer support triage
  • Lead qualification
  • Content generation
  • Meeting scheduling
  • Data collection

Creating SOPs requires a Sophosic Pro subscription. Anyone can run public SOPs for free.

Account & Privacy

Is my data private and secure?

Yes! Sophosic takes privacy and security seriously:

  • All conversations are encrypted at rest and in transit
  • Your data is never used to train AI models
  • We never sell your data to third parties
  • Row-Level Security ensures isolation between users
  • Optional 2FA for enhanced account security (Sophosic Pro)

Can other people see my conversations?

No. Your conversations are completely private by default. The only exception is if you explicitly share:

  • Public SOPs you create
  • Conversations you manually share via share links

How do I delete my data?

Delete Specific Data:

  1. Go to Settings → Data & Privacy
  2. Select what to delete (conversations, memories, knowledge base)
  3. Confirm deletion
  4. Data is permanently removed

Delete Your Account:

  1. Settings → Account → Delete Account
  2. Confirm understanding (permanent, cannot be recovered)
  3. Enter password
  4. Account deleted within 24 hours

Note: Deletion is permanent and cannot be undone. Export your data first if you might need it later.

Can I export my data?

Yes! Export all your data anytime:

  1. Settings → Data & Privacy → “Export My Data”
  2. Select data types:
    • Conversations
    • Memories
    • Knowledge base documents
    • SOP configurations
  3. Choose format (JSON, CSV, or PDF)
  4. Download archive

How much does Sophosic Pro cost?

Can I try Sophosic Pro before paying?

We occasionally offer trial periods for Sophosic Pro features. Watch for promotions or contact support@sophosic.ai to request a trial.

How do I cancel my subscription?

  1. Settings → Billing
  2. Scroll to bottom → “Cancel Subscription”
  3. Select reason (optional)
  4. Confirm cancellation

You’ll keep Sophosic Pro access until the end of your paid period, then automatically revert to the Free plan.

Are there any refunds?

Subscriptions are non-refundable. However, when you cancel, you keep access for the period you’ve already paid for. Cancel before your next billing date to avoid future charges.

Do you offer discounts?

Yes! We offer special pricing for:

  • Students: 50% off with valid .edu email
  • Non-Profits: 40% off with 501(c)(3) verification
  • Educators: Free Sophosic Pro access for K-12 and higher education teachers
  • Annual Billing: 20% off (everyone)

What devices can I use Sophosic on?

Sophosic works on:

  • Desktop browsers (Chrome, Firefox, Safari, Edge)
  • Mobile browsers (iOS Safari, Android Chrome)
  • Tablets

Native mobile apps for iOS and Android are coming soon!

What browsers are supported?

Fully Supported:

  • Chrome (latest 2 versions)
  • Firefox (latest 2 versions)
  • Safari (latest 2 versions)
  • Edge (latest 2 versions)

Partially Supported:

  • Older browsers may work but some features might be limited

For best experience, keep your browser up to date.

Does Sophosic work offline?

No. Sophosic requires an internet connection to function since it connects to AI models in real-time.

However, we’re working on offline capabilities:

  • Cached conversations for viewing
  • Offline knowledge base search
  • Sync when connection restored

Why are responses sometimes slow?

Response speed depends on:

  • Reasoning mode: Higher modes take longer
  • Web search: Searching the web adds time
  • File size: Large uploads take time to process
  • Server load: Peak usage times may be slower

Tips for faster responses:

  • Use lower reasoning modes for simple questions
  • Disable web search when not needed
  • Upload smaller files when possible
  • Try again during off-peak hours

Can I use keyboard shortcuts?

Yes! Here are the most useful:

Troubleshooting

I can’t log in

Check:

  • Email spelling (case-sensitive)
  • Password (try password reset)
  • Login method (email vs. Google vs. GitHub)
  • Caps Lock isn’t on

Try:

  • Password reset via “Forgot Password”
  • Clear browser cookies and cache
  • Try different browser
  • Check email for lockout notice

My messages aren’t sending

Common Causes:

  • Internet connection dropped
  • Browser issue
  • Server maintenance

Solutions:

  • Check internet connection
  • Refresh the page
  • Try different browser
  • Check status.sophosic.ai  for maintenance

File upload failed

Check:

  • File size (max 10MB Free, 20MB Sophosic Pro)
  • File format is supported
  • Internet connection is stable

Try:

  • Compress PDF or reduce image size
  • Convert to supported format
  • Upload smaller file
  • Try again later

Conversation history is missing

Possible Reasons:

  • Free plan: History deleted after 30 days
  • Anonymous user: Sessions expire
  • Accidentally deleted
  • Different account/device

Solutions:

  • Upgrade to Sophosic Pro for unlimited history
  • Create an account to save conversations
  • Check deleted items (may be recoverable for 7 days)
  • Ensure you’re logged into correct account

AI giving unexpected responses

Try:

  • Regenerate the response
  • Edit your message for clarity
  • Provide more context
  • Check if web search is enabled (or disabled) appropriately
  • Increase reasoning mode for complex tasks

Webhook not working

Troubleshoot:

  1. Verify webhook URL is correct
  2. Check HMAC signature (learn more)
  3. Review webhook logs in SOP settings
  4. Test with manual test tool
  5. Contact support if issue persists
