Complete guide to managing your Sophosic account, from registration to advanced settings.

Creating an Account

Registration Methods

Email Registration

Visit Registration Page

Go to sophosic.ai/register 

Enter Your Details

  • Email address
  • Secure password (min. 8 characters)
  • Accept Terms of Service and Privacy Policy

Verify Email

Check your inbox for verification email from Sophosic Click the verification link

Complete Profile

Add optional details:

  • Display name
  • Profile photo
  • Timezone

Email Requirements:

  • Valid email address
  • Must be accessible for verification
  • One account per email address

Anonymous to Authenticated

Already using Sophosic anonymously? Sign up to keep your data:

Automatic Transfer: When you create an account on the same device, Sophosic automatically offers to transfer your anonymous conversations and data. Accept to keep everything!

Account Settings

Access settings via Profile Menu → Settings or navigate to sophosic.ai/dashboard/settings .

Profile Information

Editable Fields:

  • Display Name
  • Profile Photo
  • Bio/Description
  • Timezone
  • Language Preference

Settings → Profile

Edit Information

Click “Edit” next to any field

Save Changes

Click “Save” to update

Changes Apply Immediately

Your new information is used in all future interactions

Manage email notifications:

Session Preferences

Default settings for new conversations:

Reasoning Effort:

  • Minimal, Low, Medium, or High
  • Sets default for new chats
  • Can override per-conversation

Web Search:

  • Enable/disable by default
  • Individual sessions can override

Response Style:

  • Concise or Detailed
  • Formal or Casual
  • Technical depth

Note: Session preferences require a Sophosic Pro subscription. Free users get platform defaults.

Privacy Controls

Manage your data and privacy:

Data Collection:

  • ✅ Conversation history (required for features)
  • ⬜ Usage analytics (optional, improves product)
  • ⬜ Beta features (optional, early access)

Data Sharing:

  • All data remains private by default
  • Explicitly shared SOPs can be public
  • No data sold to third parties

Download Your Data:

  1. Settings → Data & Privacy
  2. Click “Export My Data”
  3. Select data types (conversations, memories, documents)
  4. Choose format (JSON, CSV, PDF)
  5. Download archive

Delete Your Data:

  1. Settings → Data & Privacy
  2. Scroll to “Delete My Data”
  3. Select what to delete:
    • All conversations
    • All memories
    • Knowledge base
    • Account (permanent)
  4. Confirm with password
  5. Data deleted permanently

Warning: Data deletion is permanent and cannot be undone. Export your data first if you might need it later.

Security

Password Management

Change Password:

Go to Security Settings

Settings → Security → Change Password

Enter Current Password

For verification

Enter New Password

Must meet requirements:

  • Minimum 8 characters
  • At least one uppercase letter
  • At least one number
  • At least one special character

Confirm Changes

Save new password

Forgot Password:

Click “Forgot Password”

On login page

Enter Your Email

Associated with your account

Check Email

Verification code sent

Reset Password

Follow link in email to set new password

Two-Factor Authentication (2FA)

Sophosic Pro Feature: 2FA is available for Sophosic Pro subscribers for enhanced account security.

Enable 2FA

Settings → Security → Two-Factor Authentication

Choose Method

  • Authenticator App (recommended)
  • SMS (requires phone number)

Scan QR Code

Use your authenticator app (Google Authenticator, Authy, etc.)

Enter Verification Code

Confirm setup

Save Backup Codes

Store in secure location for account recovery

Supported Authenticator Apps:

  • Google Authenticator
  • Authy
  • 1Password
  • Microsoft Authenticator

Active Sessions

View and manage logged-in devices:

Session Information:

  • Device type and browser
  • IP address and location
  • Last activity timestamp
  • Session status

Actions:

  • Revoke Session: Log out specific device
  • Revoke All: Log out all devices except current
  • View Details: See full session information

Navigate to Settings → Security → Active Sessions

Connected Applications

Manage third-party app access (Sophosic Pro feature):

Settings → Security → Connected Applications

Review Connected Apps

See which apps have access to your Sophosic account

Revoke Access

Remove apps you no longer use

Manage Permissions

Control what each app can do

Security Tips:

  • Regularly review connected applications
  • Remove unused connections
  • Only connect trusted applications
  • Check permissions before granting access

Dashboard → Billing or click “Upgrade” button

Select “Sophosic Pro - $25/month”

Enter Payment Details

Credit card or PayPal

Confirm Subscription

Review and confirm

Instant Access

Sophosic Pro features unlock immediately

Payment Methods:

  • Credit/Debit Cards (Visa, Mastercard, Amex)
  • PayPal
  • Apple Pay / Google Pay

Billing Cycle:

  • Monthly: Charged on same day each month
  • Annual: 20% discount ($240/year instead of $300)

Managing Subscription

View Billing Details: Settings → Billing → Subscription

Update Payment Method: Settings → Billing → Payment Method → Update

Download Invoices: Settings → Billing → Invoices → Download

Cancel Subscription:

Go to Billing Settings

Settings → Billing

Click “Cancel Subscription”

Select Reason (Optional)

Confirm Cancellation

Subscription ends at period end

Access Until Period Ends

Continue using Sophosic Pro features until expiration

No Refunds: Subscriptions are non-refundable. When you cancel, you keep access until the end of your billing period.

Account Deletion

Temporary Deactivation

Deactivate without deleting:

  1. Settings → Account → Deactivate
  2. Data preserved for 90 days
  3. Reactivate anytime by logging in
  4. All data restored

Permanent Deletion

Irreversible: Account deletion is permanent. All data is destroyed and cannot be recovered.

Export Your Data (Optional)

Settings → Data & Privacy → Export Data

Cancel Subscription

If you have an active Sophosic Pro subscription

Settings → Account → Delete Account

Confirm Understanding

Check boxes acknowledging:

  • Deletion is permanent
  • Data cannot be recovered
  • Subscriptions will be cancelled

Enter Password

For final verification

Confirm Deletion

Account deleted within 24 hours

What Happens:

  • Account deactivated immediately
  • Data queued for deletion
  • Permanent deletion within 30 days
  • Email confirmation sent

Troubleshooting

Can’t Login

Check:

  • Email address spelling
  • Caps Lock (password is case-sensitive)
  • Account method (email vs. Google vs. GitHub)

Try:

  • Password reset
  • Clear browser cookies
  • Try different browser
  • Check email for lockout notice

Email Not Received

  • Check spam/junk folder
  • Add noreply@sophosic.ai to contacts
  • Verify email address is correct
  • Request new verification email

Session Transfer Failed

If anonymous sessions didn’t transfer:

  • Contact support with anonymous user ID
  • We can manually transfer within 7 days
  • After 7 days, anonymous data purged

Billing Issues

  • Verify payment method is valid
  • Check for sufficient funds
  • Contact your bank (some flag AI services)
  • Email support: billing@sophosic.ai
